How do I set up my voice mail for the first time?    (back to top)

If you use a one-line phone, 7912, you MUST use the handset on your phone.  If you have a two-line phone, 7940 or six-line phone, 7960, it is recommended you use the handset. 

On a one-line phone press the menu button (the button to the right of the toggle button). 

  1. Select Messages

  2. Follow the voice instructions

  3. Enter the default password (followed by the # sign)

  4. Say your name when prompted

  5. Record your greeting when prompted

Please remember to keep your greeting brief, informative, and  professional.

On a two-line phone, press the Messages button and follow the instructions as indicated above. 

 

How do I check my messages?   (back to top)

  1. Press the messages button, either from the Messages button on a multi-line phone or by starting with the menu button (as shown above)

  2. Enter your password followed by #

  3. Press 1 to listen to messages 

  4. To repeat a message, press 1

  5. To save a message, press 2

  6. To delete a message, press 3

  7. To reply to a message, press 4

  8. To  forward a message to someone else, press 5

How do I check my messages from off campus?    (back to top)

  1. Dial your number 

  2. When your greeting starts, press *.

  3. When prompted for your ID, enter your extension number (followed by the # sign)

  4. Then you will be prompted for your password followed by the # sign

  5. You may then listen to your messages just as if you were in your office

How do I change my greeting from my phone?     (back to top)

  1. Press the messages button just as you would if you were checking current messages… 

  2. Enter your password and the # sign. 

  3. Wait for the voice instructions to give you a prompt. 

  4. For Setup Options, Press 4   

  5. For Greetings, Press 1   

  6. To re-record the main greeting, Press 1   

  7. After you record your greeting press the # sign.

How do I change my greeting from off campus?   (back to top)

  1. Dial your number

  2. Press * when the greeting begins

  3. You will be prompted to enter your ID, which is you extension,  followed by the # sign

  4. Enter your password and the # sign when prompted

  5. Follow directions as above

How do I change the recorded name?   (back to top)

  1. Go To Messages

  2. Enter password and #

  3. Enter 4 for setup options

  4. Enter 3 for personal settings

  5. Enter 2 to change recorded name

  6. Follow directions

How do I forward phone calls to my voice mail?   (back to top)

Press the CFwdAll button, press * and your number (*4848)  The CFwdAll button is a softkey found at the bottom of your lcd panel.

(Example, CFwdALL (beep beep) *4848; at the top of the LCD panel you will see an arrow flashing in the top right hand corner.)

 To retrieve your forwarded phone calls, simply press the CFwdALL button.

 

 

How do I transfer calls to someone else?    (back to top)

Transferring phone calls refers to having an active phone call you wish to send (transfer) to another person.  While you have an active phone call,

  1. Press the transfer button (the soft key located below the LCD panel on your phone)

  2. Enter the number  (call may be transferred on campus or off campus - dial 9 before you dial the 7 digit off campus number)

  3. After the dialing is complete, enter transfer again

Keep in mind that it is recommended that once the number is entered, it is good phone etiquette to wait for the person you are calling to answer and inform them that you are transferring a call.

How do I transfer calls to someone else's voice mail?     (back to top)

Press Transfer, * , the number, Transfer, hang up.

Note: It is recommended that you press transfer for the second time immediately because the other party's voicemail starts immediately.

How do I retrieve calls after I've started to transfer?    (back to top)

Press End Call (softkey) to the transfer number, and press resume to pick up the original caller.

How do I make long distance calls?    (back to top)

Dial 9, then 1, then the area code and number.

Note: It is recommended to dial number before picking up receiver.  Leave the receiver on hook and enter the numbers.  Check the numbers for accuracy, then pick up the receiver. The phone will dial the number.  If you accidentally dial 911 while attempting to dial long distance, do not hang up.  Inform the operator that you dialed in error.

Attention: Regarding 911 phone calls

We DO NOT have to dial 9-911 to get emergency responder.  911 will reach the police department.  If you dial 911 in error, please stay on the line and tell the operator that it was a misdial.  If you hang up, the police department calls the number from which you dialed and our police department on campus. 

 How do I slow down or speed up the message on my voice mail?    (back to top)

  1. Press 4 to slow down the message

  2. Press 6 to speed up the message

How do I look someone up in the directory?  (back to top)

For a multi-line phone:

  1. Press the Directories button.

  2. Choose 4 - Corporate Directory

  3. Spell the name, or the first few letters of the name, in the First Name field or scroll down and use the Last Name field.

  4. Press Search.

  5. Scroll down to the desired name and press dial or pick up the handset; or you may press the number beside the desired name.

  6. To exit without completing the search, press directories to return to the default screen.

For a one-line phone:

  1. Press the menu button.

  2. Choose Directories (#2).

  3. Scroll down to Directory Services (#5) or just press 5.

  4. Press Select for Corporate Directory or press number 1.

  5. Spell the name, or the first few letters of the name, in the First Name field or scroll down and use the Last Name field.

  6. Press Search.

  7. Scroll down to the desired name and press dial or pick up the handset; or you may press the number beside the desired name.

  8. To exit without completing the search, press the menu button to return to the default screen.

How do I make a conference call?  (back to top)

You can create a conference call between you and up to 5 other people (total of 6).

  1. Dial the first party (A) you would  like to include; after A answers tell them to hold while you call the next party (B). 

  2. Press the "more" softkey button on your phone then press the "Confrn" softkey button, where you should get a dial tone.  Dial the number of party B.  Remember if you are dialing long distance, you need to keep to the rules of dialing long distance, i.e. 9-1-area code - 123-4567.

  3. When party B answers tell them you will connect them to the conference call; press "more" and "confrn" again. 

All parties should be together on the phone.  To include other parties, follow the same steps.

Conference calls involving more than 6 people can be scheduled through the VOIP call administrator, cbarber@abac.edu or 229-391-4848.  Give the nature of the call; the number of people in the call; the date and time; how long the call should last; and, whether or not you would like to have the call password protected.  All conference calls will have a conference code number that is required to enter the call, but can also be password protected.  You will be provided an 800 number as well as a local call number for your conference call attendees to use to dial in. We require at least 48 hours notice to set these calls up.  There is a minimal charge.
