BASIC FUNCTION

 

This position assists the faculty, staff, and students in maintaining complete and accurate records.  This includes all aspects of student enrollment records, including course schedules, enrollment, and grade records.  The Registrar also ensures that transfer credits, both into and out of ABAC, are properly recorded and documented.  The Registrar maintains the integrity of catalog information and catalog updates and organizes and maintains permanent vault records. Serves as Data Steward and FERPA Compliance Officer.

 

NATURE AND SCOPE

 

The Registrar reports directly to the VPAA.

 

He/She serves as the contact person for faculty, staff, and students who have questions or problems regarding enrollment or records.  He/She must display superior communication skills in order to accurately convey the correct answers, quell disputes, and solve problems.  In addition, the incumbent must maintain current knowledge on all policy changes.

 

Additional duties of the Registrar are to provide functional support and data accountability for Banner student module as well as the Curriculum Advising and Program Planning (CAPP) module.  This includes entering updates to include additions and changes from current information and performing checks to make sure the system reflects correct information.  Serves as non-voting member of Curriculum Committee and serves on various other College committees as needed.

 

Maintenance of permanent student academic records is a chief responsibility of this position.  The Registrar must organize and update both electronic and permanent vault records.  He/She determines how prior academic credit is applied in consultation with academic officials.  Also, the incumbent provides official academic records for current and former students upon request.

 

Organization is necessary for the Registrar.  With a variety of duties to perform on a regular basis, the incumbent must keep tasks organized and prioritized. 

 

The Registrar ensures and enforces compliance on behalf of the College with regard to federal, state, institutional, and University System of Georgia policies.  This requires an advanced understanding of the policies.

 

Provides support for National Clearinghouse submissions, major change processing, transcript requests and the certification of graduates.

 

 

The person occupying this position must practice the highest ethical standards.  These high standards are essential, as the areas of admissions and student records offer an array of means to subvert principles.  Esteemed ethical behavior is necessary in order to preserve and elevate the integrity of the Institution. 

 

 

 

PRINCIPAL ACCOUNTABILITIES

 

·         Assists faculty, staff, and students in the resolution of questions, problems, and issues

·         Updates the Curriculum Advising and Program Planning module to include additions and/or changes from current information

·         Determines credit granted from transfer courses

·         Oversees the maintenance and security of the records of students

·         Assist Public Relations with graduation ceremony

·         Organizes and produces the College catalog

·         Oversees all aspects registration, grade entry, and end-of-term grade processing

·         Determines academic eligibility issues for student athletes

·         Updates web site area

·         Maintains permanent vault records

·         CIP code reviews and updates

·         Roster correction forms, mid-term grade entry,  and final grade entry oversight

·         Academic Standing updates as needed and/or for appeals

·         End of Term processing  and updates oversight and communication (President’s, Dean’s, Achievement, Probation, Suspension lists)

·         Develop and post academic calendar (upon Cabinet approval) and final exam dates/times

·         Chair Academic Appeals committee and update w/Banner

·         Implement Curriculum committee action

·         CAAP adjustments/substitutions/waivers oversight

·         Verify BOR DMA listing and request adjustments/corrections as needed

BUDGETARY RESPONSIBILITIES

 

The Registrar assists with the creation and maintenance of his/her office budget.

 

SPECIALIZED KNOWLEDGE AND EXPERIENCE REQUIRED

This position requires a master’s degree, five to seven years of work experience in a collegiate environment, and proficiency in Microsoft Office, the Banner student information system, and HTML. Demonstrated experience of using technology to solve problems and make future improvements.
