BASIC FUNCTION
|
|
The Director of Support Operations plans and oversees the daily support activities of the Office of College Advancement. |

NATURE & SCOPE
|
|
The Director of Support Operations reports to the Chief Development Officer and oversees daily support operations within the Office of College Advancement. Subordinate personnel may include clerical, accounting, research personnel, database and website management personnel. Until such time as all subordinate personnel positions are filled the Director of Support Operations will be responsible for these duties. Subordinate staff will also include student worker(s). The incumbent will be expected to work cooperatively with co-workers who are also subordinate to the Chief Development Officer.
This position requires a variety of skills, including: Ø communications, both written and verbal, Ø organization, Ø personnel management, Ø customer service and public relations, Ø budget development and management, and Ø scheduling, time and records management Ø basic knowledge of general accounting and budgetary procedures Ø software proficiency in Microsoft Office Ø experience in Blackbaud Raiser Edge or equivalent database related to management of fundraising Ø website maintenance experience
The incumbent must be self-motivated and goal oriented. The incumbent will be an integral part of the Office of College Advancement team, making decisions and assigning work necessary to support co-worker units and accomplish the Office’s goals.

PRINCIPAL ACCOUNTABILITIES
|
|
Ø Plans and directs the daily operational and support activities of the Office College Advancement.
Ø Insures that support work is performed in accordance with administrative policies and procedures of the College and the Foundation.
Ø Maintains records and schedules for the office.
Ø Responsible for routine reports on behalf of the Office of College Advancement, including but not limited to the Annual Report, Annual Audit, Project Activity reports, Gift Summaries and analyses, VSE report, Fact book and related constituent reports (donor profiles, list of graduates in a geographical area, etc).
Ø Executes mass mailings, acknowledgement letters, and other constituent correspondence as needed.
Ø Responsible for the accuracy, standardization and maintenance of constituent database, including training of other users in the Office of College Advancement.
Ø Responsible for the creation and execution of queries, exports and reports as needed in support of the other units, Chief Development Officer, and the College.
Ø Responsible for the maintenance of Alumni and Foundation website, including but not limited to promotion of online giving, online community, and mass electronic communications.
Ø Ability to back up accounting personnel with gift entry and check writing when needed.
Ø Serve as in-house technology support for software questions and limited hardware issues.
Ø Performs other duties as needed.

SPECIALIZED KNOWLEDGE AND EXPERIENCE REQUIRED |
|
This position requires at least an associate degree and three to five years of experience in a business or office management, development office experience preferred. Proficiency in general computer technology, budget management, communication, basic mathematics and accounting, personnel management and business administration. The incumbent should be proficient in contemporary office technologies and software, to include Windows, Microsoft Office, and other departmental-related software; experience with Raisers Edge or equivalent constituent database is preferred. |

BUDGETARY RESPONSIBILITIES |
|
The Director of Support Operations assists in the development of the Office’s budget and is primarily responsible for day to day management of the budget. |
