Rules/Filters for E-mail Messages

  1. Open Outlook [Start, Programs or Desktop Icon]

  2. Tools, [menu]

  3. Rules Wizard [pull-down]

  4. New [button]

  5. Start from a blank rule [radio button]

  6. Select the action to execute [selections]:
    (a) Check messages when they arrive, or
    (b) Check messages after sending

  7. Next [button]

  8. Which conditions do you want to check -- Select the condition(s) to execute upon [check mark selection(s)]

  9. Click the link to define criteria [bottom box]

  10. Type in criteria [text entry box]

  11. Add [button] as needed

  12. OK [button]

  13. Next [button]

  14. What do you want to do with the message? -- Select the condition(s) to execute [check mark selection(s)]

  15. Click the link to define actions [bottom box]

  16. Type in or Select [text entry box]

  17. Ok [button]

  18. Select "Stop Processing More Rules" -- To avoid receiving multiple copies of messages due to their satisfying multiple criteria

  19. Next [button]

  20. Add any exceptions (if necessary): -- Select any exception(s) [check mark selection(s)]

  21. If filtering "trash" messages,
    (a) include "Except if sender is in specified address book,"
    (b) select Contacts under Outlook Address Book,
    (c) Add [button]

  22. Next [button]

  23. Please specify a name for this rule [text entry box]

  24. If you would like to have this rule execute on the current mailbox,
    (1) Select "Run this rule now on messages already in Inbox" [check mark selection]

  25. Finish [button]
