Duties and Privileges of the Board of Directors

The Board of Directors are wholly responsible for all activities of the club and must maintain order adhere to all school and club rules and regulations. While each board member has his/her own set of responsibilities within the club, it is the job of the board as a whole to perpetuate the cause of the club and ensure the good standing of this organization at ABAC. The Board of Directors shall settle any dispute within the organization with a simple majority vote. Any ties in voting shall be broken by the club advisor.

Duties and Privileges of the Chairman of the Board

The Chairman of the Board shall convene, conduct, and adjourn all club meetings, preserving order and enforcing the Constitution. He/She shall state clearly and put to the club all motions and promotions, conduct all elections, work closely with the club advisor, and serve as liaison between club members and the board of directors. In the event of a board member’s absence, the Chairman must assume the absent board member’s role at the board meeting. In addition, the Chairman of the Board should maintain high club morale between meetings and must be aware of all activities of the club and the board. He/She must direct the recruitment of new members. As a member of the board of directors, the Chairman of the Board may establish committees comprised of club members in good standing to assist in accomplishing his/her responsibilities.

These responsibilities include, but are not limited to:
  • Convene, conduct, and adjourn all club meetings, preserving order and enforcing the Constitution
  • State clearly and put to the club all motions and promotions
  • Conduct all elections
  • Work closely with the club advisor
  • Serve as liaison between club members and the board of directors
  • Assume the absent board member’s role at the board meeting
  • Maintain high club morale between meetings and must be aware of all activities of the club and the board
  • Direct the recruitment of new members
  • Put out notices online concerning club meetings, events, and activities including, but not limited to, the ABAC student mailing list, email list of official club members, board members, etc
  • Establish committees comprised of club members in good standing to assist in accomplishing his/her responsibilities

Duties and Privileges of the Deputy Chairman of the Board

The Deputy Chairman of the Board shall assume the responsibilities of SGA Senator, director of Internet activities, and club secretary. In addition, in the absence of the Chairman, the Deputy Chairman shall assume all privileges and duties of the Chairman until his/her return. It is the primary task of the Deputy Chairman to assist and keep in close contact with the Chairman of the Board. In his/her role as SGA Senator, the Deputy Chairman must attend all SGA meetings and report any pertinent information back to the board of directors at each meeting. He/She must also ensure that all club paperwork for the SGA is completed and turned in as requested by the board of directors. In his/her role as club secretary, the Deputy Chairman must keep accurate records of all club meetings, attendance, club events, etc. No official records are to be kept of the board meetings. In his/her role as director of Internet activities, the Deputy Chairman, alongside the Chairman, must maintain the club’s website, Facebook account, Myspace account, and other online profiles. All pages must be updated at least once per week and reflect all of the values, goals, events, and workings of the club as a whole. In addition, the Deputy Chairman, alongside the Chairman, must put out notices online concerning club meetings, events, and activities including, but not limited to, the ABAC student mailing list, email list of official club members, board members, etc. As a member of the board of directors, the Deputy Chairman of the Board may establish committees comprised of club members in good standing to assist in accomplishing his/her responsibilities.

These responsibilities include, but are not limited to:
  • Assume the responsibilities of SGA Senator (attending SGA meetings, reporting back to club, filing SGA paperwork for club, etc.)
  • Assume the responsibilities of Director of Internet Activities (maintain the club’s website, Facebook account, Myspace account, and other online profiles)
  • Assume the responsibilities of Club Secretary (keep accurate records of all meetings and events including subject matter and attendance)
  • Assume all privileges and duties of absent Chairman until his/her return
  • Assist and keep in close contact with the Chairman
  • Put out notices online concerning club meetings, events, and activities including, but not limited to, the ABAC student mailing list, email list of official club members, board members, etc
  • Establish committees comprised of club members in good standing to assist in accomplishing his/her responsibilities

Duties and Privileges of the Director of Finance

The Director of Finance shall keep accurate records of club receipts, expenditures, and account balances throughout the year. He/She is responsible for all aspects of club money and must report all financial information directly to the club advisor(s) and the Chairman of the Board. All expenditures must be approved by the Board of Directors and the club advisor(s) prior to the dispersing of funds. In addition, the Director of Finance must be present at all fundraising events and is wholly responsible for funds accrued during each event (including security detail if necessary). He/She must ensure the integrity of the club’s banking and finance records and accounts. The Director of Finance is also responsible for creating each year’s budget and turning in all documents pertaining to the budget as required by the SGA. Finally, the Director of Finance is responsible for collecting all unpaid dues. As a member of the board of directors, the Director of Finance may establish committees comprised of club members in good standing to assist in accomplishing his/her responsibilities.

These responsibilities include, but are not limited to:

The Director of Public Relations shall help create and maintain a positive image for the club, conduct all advertising activities for the club, and nurture relationships within the local community. He/She must maintain contacts with local newspapers, TV channels, radio stations, and other media organizations in order to streamline the advertising process. He/She is responsible for any community involvement in club events and activities. In addition, the Director of Public Relations must keep in close contact with ABAC’s Director of Public Affairs, the Stallion, and WPLH. He/She must be present at all fundraising events and have an active role in any media coverage of events. As a member of the board of directors, the Director of Public Relations may establish committees comprised of club members in good standing to assist in accomplishing his/her responsibilities.

These responsibilities include, but are not limited to:

The Director of Interclub Relations shall establish rapport and communications with other ABAC clubs, clubs from other colleges, community organizations, and national organizations that share a mutual and common goal and/or cause or may assist in any goal or cause of the International Club. He/She must establish and maintain relationships with organizations such as churches, rotary clubs, nonprofit groups, the University System of Georgia, etc. The Director of Interclub Relations must maintain personal contact with other club presidents or representatives in order to coordinate all joint efforts. He/She must attend meetings for other organizations and must arrange any meeting between organizations necessary to coordinate efforts. As a member of the board of directors, the Director of Interclub Relations may establish committees comprised of club members in good standing to assist in accomplishing his/her responsibilities.

These responsibilities include, but are not limited to:
  • Establish rapport and communications with other ABAC clubs, clubs from other colleges, community organizations, and national organizations that share a mutual and common goal and/or cause or may assist in any goal or cause of the International Club
